VantageRTM LLC (“VantageRTM,” “we,” “us,” or “our”) operates a managed Remote Therapeutic Monitoring service for Speech-Language Pathology and therapy practices. This Privacy Policy explains how we collect, use, protect, and disclose information about visitors to our website (vantagertm.com) and users of the VantageRTM platform, including parents, guardians, therapists, and practice administrators.

Because we handle Protected Health Information (PHI) on behalf of covered healthcare entities, this policy is designed to meet the requirements of the Health Insurance Portability and Accountability Act (HIPAA) in addition to applicable general privacy laws including the California Consumer Privacy Act (CCPA) where applicable.


2. INFORMATION WE COLLECT

Website Visitors (vantagertm.com):

• Contact information you voluntarily submit through forms — name, email address, phone number, practice name
• Usage data — pages visited, time on page, referring website, browser type, device type
• IP address and general geographic location (city/region level)
• Cookie data as described in our Cookie Policy

Platform Users — Parents and Guardians:

• Account credentials — email address and encrypted password
• Patient information — child’s name, date of birth, diagnosis, assigned therapist
• Daily therapeutic check-in data — exercises completed, duration, performance ratings, parent notes
• Optional video submissions of home therapy practice sessions
• Insurance information — carrier name and member ID

Platform Users — Therapists and Practice Staff:

• Professional credentials — name, NPI number, credentials, practice affiliation
• Clinical review documentation — review time logs, clinical notes, attestations
• Patient assignment and caseload information

Practice Administrators:

• Practice information — name, address, EMR system, clearinghouse, billing contact
• Billing and financial data — monthly patient lists, CPT codes, revenue reports


3. HOW WE USE YOUR INFORMATION

• To deliver Remote Therapeutic Monitoring services to enrolled therapy practices and their patients
• To generate monthly compliance reports and billing documentation for practice billing teams
• To send automated reminders and notifications to parents regarding daily check-in compliance
• To communicate with practice administrators and therapists about program operations
• To respond to inquiries submitted through our website contact forms
• To improve the VantageRTM platform based on usage patterns and feedback
• To comply with legal obligations including HIPAA, tax reporting, and applicable regulations
• To detect, prevent, and respond to fraud, security incidents, and unauthorized access

We do not use PHI for marketing purposes. We do not sell, rent, or trade any personal information or PHI to third parties under any circumstances.


4. HOW WE SHARE YOUR INFORMATION

Business Associates:
We share PHI with technology vendors who provide services on our behalf — including cloud hosting (Aptible/AWS), database services, and email delivery — under signed Business Associate Agreements that require them to protect PHI to the same HIPAA standards we maintain.

Covered Entity Practices:
PHI collected from parents and guardians is shared with the patient’s assigned therapy practice for clinical and billing purposes. This is the core function of the RTM program.

Legal Requirements:
We may disclose information when required by law, court order, or government request. We will notify you of such disclosures to the extent permitted by law.

Business Transfers:
If VantageRTM is acquired or merged with another entity, your information may be transferred. We will notify you before your PHI is transferred and becomes subject to a different privacy policy.

We Never Share:
• PHI with employers or unauthorized third parties
• Your information with advertisers or data brokers
• Your information for purposes beyond those described in this Policy without written authorization


5. HOW WE PROTECT YOUR INFORMATION

• All data is encrypted in transit using TLS 1.2 or higher (HTTPS)
• All PHI is encrypted at rest in our database and backup systems
• Access to PHI is role-based — parents see only their child’s data; therapists see only their assigned patients
• All platform accounts require unique credentials — no shared logins
• Multi-factor authentication is required for therapist and administrator accounts
• Sessions automatically time out after a period of inactivity
• All access to PHI is logged with user identity, timestamp, and action type
• We conduct annual Security Risk Assessments as required by HIPAA
• We maintain written security policies and procedures reviewed annually


6. DATA RETENTION

We retain PHI for the minimum period required by applicable law and our contractual obligations to covered entity practices. In most cases this is six years from the date of creation or the date the information was last in effect, whichever is later. Website contact data is retained for three years. Upon expiration of the retention period, PHI is securely deleted using methods that prevent recovery.


7. YOUR RIGHTS

Depending on your relationship with VantageRTM and applicable law, you may have the right to:

• Access the personal information or PHI we hold about you
• Request correction of inaccurate information
• Request deletion of your information (subject to HIPAA retention requirements)
• Withdraw consent for any use beyond what is required for the RTM program
• Receive a copy of this Policy in an accessible format
• File a complaint with our Privacy Officer or with the HHS Office for Civil Rights

8. CHILDREN’S PRIVACY

The VantageRTM platform is designed to monitor the therapeutic activities of pediatric patients. All patient data for minors is created and managed by adult parents or legal guardians who consent on the minor’s behalf. We do not knowingly collect information directly from children under 13 without parental consent. If you believe a minor has submitted information without appropriate consent, contact us immediately at [email protected].


9. CHANGES TO THIS POLICY

We may update this Privacy Policy periodically to reflect changes in law, our practices, or our services. We will post the updated Policy at vantagertm.com and notify enrolled practice administrators by email at least 30 days before material changes take effect. Continued use of the platform after the effective date constitutes acceptance of the updated Policy.
